Why It Matters As Shared Infrastructure
Outreach gets more useful the more your team uses it together. A contact you added last month is available to a colleague next week. A list someone built for last quarter's campaign is ready for this quarter's. Treat Contactbase as shared organizational memory, not a personal address book.
A few habits that help:
- Add contacts as you make them. Don't wait until you "need" the record — you'll forget.
- Tag and categorize consistently. "Health journalists" is more useful than "press contacts I sometimes use."
- Reuse lists instead of rebuilding. If you've sent to the same group before, find the existing list before making a new one.
A Typical Flow
Scenario: you've drafted a press release on a new piece of legislation and now need to send it to the right journalists.
- Open Contactbase from Outreach.
- Find your audience. Filter for journalists who cover the relevant beat, or open an existing list.
- Open Distribution Lists to either pick an existing recipient group or save your filtered set as a new list.
- Send. The list stays available for the next release on the same topic.
