Users and Roles

Invite teammates, manage who has access to your Referenta account, and keep track of your user limits.

This is the admin page for managing the people on your team account. If you need to onboard a new colleague, remove someone who's left, or check how many seats you have available, you're in the right place.

What You Can Do Here

  • See everyone on your team. A list of current members with the basics.
  • Search the list when the team gets large enough that scrolling isn't practical.
  • Invite a new user by sending an invitation to their email.
  • Manage user limits. If your plan caps the number of users, you can see your current count and the maximum allowed.

A Typical Flow: Onboarding A New Teammate

  1. Open Organization → Users and Roles.
  2. Click to invite a new user. You'll be asked for their email address.
  3. Set their role. Roles control how much they can do in the dashboard. If you're not sure which to pick, check General Settings & Help or ask another admin.
  4. Send the invitation. They'll get an email with a link to set up their account.
  5. Confirm they have access the next time they log in.

A Good Habit: Review Periodically

Once a quarter, scan the list and remove people who've left the organization or no longer need access. Inactive accounts take up seats you might need later.

Who Should Open This Page

Mainly admins and managers. A regular user who isn't responsible for the team account rarely needs to come here — and that's by design. Most of the dashboard is about doing work; this area is about who's allowed in.
